Personal Information from AI Chatbot End Users

When you interact with the Brothers Digital AI chatbot on an immigration firm's website, we collect information that you voluntarily provide during the intake conversation. This may include:

  • Immigration-related data — Information you share during the intake conversation, such as age, education, work experience, language proficiency, family status, intended visa pathway, and other details relevant to eligibility screening
  • Conversation data — The full transcript of your chat, including your questions and responses, which is used to qualify your inquiry and deliver your profile to the immigration firm

This information is collected on behalf of the immigration firm whose website you are using. The firm is the primary data controller for intake conversations; Brothers Digital processes the data as a service provider under contract.

3. How We Use Your Information

We use the personal information we collect for the following purposes:

  • Service delivery — To operate our AI intake platform, conduct eligibility screening, and deliver qualified leads to immigration firms
  • Intake qualification — To assess your inquiry against IRCC criteria, estimate CRS scores where applicable, and recommend visa pathways based on the information you provide
  • CRM integration — To create lead profiles and push them into the immigration firm's CRM (e.g., VisaFlo, CaseEasy, Clio, HubSpot) so the firm can follow up with you
  • Analytics — To understand how our website and chatbot are used, improve our services, and measure performance
  • Communication — To respond to your inquiries, send service-related messages, and, with your consent, send marketing communications about our platform
  • Legal and security — To comply with legal obligations, enforce our terms, and protect against fraud or abuse

  • Canadian data residency — All personal information is stored on Canadian-based servers. We do not use US-based cloud providers for primary data storage. Your data remains under Canadian jurisdiction and PIPEDA governance at all times.

They receive your lead profile, intake conversation, qualification score, and any estimated CRS or pathway information so they can follow up with you.
  • With essential service providers — We may share data with service providers who assist us in operating our platform (e.g., hosting, analytics, CRM integration). These providers are under contract to use your data only for the purposes we specify and to protect it in accordance with this policy.
  • For legal reasons — We may disclose information if required by law, court order, or government request, or to protect our rights, safety, or property.

6. PIPEDA Compliance

As a Canadian company handling personal information, we comply with PIPEDA and its fair information principles:

  • Consent — We obtain your consent before collecting, using, or disclosing your personal information. For chatbot interactions, consent is obtained at the start of the conversation. You may withdraw consent at any time by contacting us.
